A practical guide for SENCOs

Switching from Provision Map: the SENCO's guide

What to check before you switch, how migration actually works, and how schools go live in days. The practical bits, not a sales pitch.

It's not the software. It's what it asks of you.

Most SEND platforms hand you a toolkit. Templates to choose, fields to customise, structures to design. Every one of those decisions is your time, and you didn't take this job to configure software. The SENCOs who come to us aren't looking for more features. They're looking for fewer decisions.

Before you switch, check three things

Your renewal date and notice period

Most SEND software contracts renew annually and auto-renew if you miss the notice window. Find your renewal date, find your notice period, and put both in the diary now. This one date decides your whole timeline.

What you can export

Pupil records, learning plans, provisions, review histories. Check what your current system lets you take with you. We'll send you a one-page checklist of exactly what to pull, where to find it, and what we need.

What your team actually uses

List the five things your staff do in the system every week. That list is your requirements document. Ignore the feature grid, buy against the list.

How It Works

01

We connect to your MIS via Wonde

Senflow integrates with SIMS, Arbor, Bromcom and every major MIS through Wonde. Your pupil records, classes and staff sync automatically from day one and stay in sync. Nothing to type in, nothing to keep updated by hand.

02

Export your SEND history

Because your MIS covers the pupil data, all you export from your current system is the SEND side: learning plans, provisions and review histories. We send you a one-page checklist. It's an afternoon, not a term.

03

Send it securely

Files go through our secure document transfer, covered by a signed data processing agreement. No pupil data over email, ever.

04

We map it into Senflow

Our team matches your plans and provisions to the pupils already synced from your MIS. You don't rebuild anything, and you never pick a template, because there isn't one to pick.

WHAT YOU WON'T BE DOING

No template picker. No customisation workshops. No settings maze before you can add your first pupil.
Senflow is built around the SEND Code of Practice. Assess, plan, do, review is already in the system, the way it should be. You add your pupils and get on with the job.

You shouldn't have to design your own SEND system. That's our job.

What Our Schools Say

View All

“ Senflow has streamlined everything we do for SEND. It’s simple to use, saves us hours each week, and the support is outstanding.”

Miss Caufield
SENCO, St Philip's Catholic Primary and Nursery School

“ Senflow has genuinely improved how we work. The platform is intuitive, saves us hours each week, and keeps everything organised in one place.“

Mrs Gibbons
Headteacher, St Francis Catholic Primary School

Since using Senflow my practice as a SENCO has revolutionised. I have the freedom and power to be the kind of SENCO I want to be and my school needs. Paperwork has hugely reduced and creating reports is a job that is complete in a few clicks. I am able to manage whole school provision and manage the cost more efficiently. I feel more in control and knowledgeable about what is happening for individual children and can work collaboratively with their families in the full knowledge of their everyday provision. I can see who, what and when a child is receiving additional support - something I would usually need to chase and spend time collating. Every teacher is now accountable and helping us build the picture for children with SEND and therefore improving our overall culture!

Seanna Reuben Sweeney
Deputy Head Teacher & SENCO, Rothwell St. Mary's Catholic Primary School

"Senflow has made a huge difference to my role as SENCO, significantly reducing the administrative burden of managing EHCPs and SEND provision. The system is intuitive and saves valuable time, allowing me to focus more on supporting pupils and staff. Our teachers love using it too - it's improved consistency across the school and strengthened communication between staff. The support from Lucy and Dom has been exceptional throughout. I would definitely recommend Senflow to any school looking to streamline their SEND processes."
